Planning and hosting a special event in your life, whether it is a wedding, anniversary, milestone birthday, or any celebration that involves friends and family coming together to celebrate is an amazing experience. So much time, effort, organization, and finances go towards achieving the perfect event. It is often required to pay in advance for many event services, such as venues and vendors for food, entertainment, decorations, photography, etc. which makes planning an event a costly endeavor as well. Usually everything comes together perfectly, and the memories made are priceless.

Imagine you have contracts with multiple vendors and have paid multiple deposits for a special event, but you unexpectedly must cancel for a reason that is out of your control. How do you get your money back? Or what if during your event, a guest has too much to drink, causes an injury or damage, and you are held responsible as the host of the event?

Not only do you forfeit what you paid for the event, but then you potentially have the added cost of paying for a legal defense. Cancellation Coverage

Event cancellation insurance guarantees reimbursement of event deposits and payments up to your selected policy limit in the case of an involuntary cancellation or postponement. This means the insurer will pay you back the amount of money you have spent for services if a venue or vendor is unable to refund you for reasons such as:
  • Venue/Vendor Goes Out of Business
    If your contracted venue or vendor has taken deposits from you for an event and then files bankruptcy or closes their business, your cancellation coverage will refund the money you have paid up to your policy limits.
  • Extreme Weather / Natural Disaster
    Most venues/vendors do not have insurance coverage for extreme weather, such as floods, hurricanes, earthquakes, etc. Even if a disaster does not destroy the venue, it could prohibit travel or prevent the event from taking place. A venue may not be able to issue a refund in this situation, however, with cancellation insurance, your refund is assured.
  • Unexpected Illness, Injury, or Death
    Event contracts often do not include a clause that entitles you to a refund in the case of an illness, injury, or death that would force an event cancellation. With cancellation insurance, you would be entitled to a refund of your deposits if this situation arises.

Liability Coverage

Hosting a large group event involves a high level of responsibility. As the host, you could be held legally liable for an injury to a guest, damage to property, excessive alcohol consumption, etc. Although accountability falls on the venue and vendors as well, the host could pay a percentage of damages if there is a claim or lawsuit. With event liability insurance, your insurer has a duty to defend if there is a claim such as:
  • Guest Accidental Injury
    If a guest suffers an injury during your event, you would likely be included in a claim or lawsuit as the event host. Rather than paying medical expenses or hiring a lawyer yourself, your event liability policy provider will handle the claim.
  • Liquor Liability
    Choosing to provide alcohol at an event is very common, but it is a significant liability for the host. Whether you choose a venue with a liquor license or hire a licensed bartender, if a guest causes an injury or damage because of alcohol consumption, you are liable in addition to the venue or vendor. Having your own liability insurance coverage guarantees your defense.
  • Damage To Property
    If guests at your event cause damage to the venue or a vendor’s equipment, you could be held accountable. The cost to repair or replace damaged property can be very expensive, but with liability insurance, you would save from having to pay out of pocket.
  • Illness or Injury Caused by Third Party Vendors
    If any hired vendors for your event cause an illness or injury (for example, if the caterer causes food borne illness) you could be held responsible as well. Most vendors are required to carry their own liability insurance to protect themselves, however, this does not apply to you if there is a claim. Having your own liability insurance policy is the best way to ensure you are protected as well.
